Real Estate Transaction Management Coordinator Job Description

Below are just the main tasks that are performed for each. There, of course, a myriad of integral tasks that are performed to get a home on the market and then eventually to close that aren't listed here. Please ask me for a complete list of all tasks that I normally provide to my clients.  

 

  •  Listing Concierge (Listing to Contract)

  1. Oversee all aspects of sellers transactions from initial contact to the executed purchase agreement.

  2. Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures and pull online property profile

  3. Coordinate with sellers all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities.

  4. Confirm that all necessary signatures are on listing agreement, disclosures, and other necessary documentation.

  5. Input all listing information into MLS (as allowed by local MLS)

  6. Input listing information to Agents websites and update as needed.

  7. Create a single property website and update as needed (if so requested)

  8. Order Sign up

  9. Submit all necessary documentation to office broker for file compliance.

  10. Input all necessary information into client database and transaction management systems.

  11. Coordinate showings & obtain feedback. (If using ShowingTime or CSS, will send email reminders to the agent requesting feedback)

 

  • Transaction Coordinator (Contract to Closing)

  1. Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.

  2. Coordinate title/escrow, mortgage loan and appraisal processes (as allowed by local regulations).

  3. Coordinate inspections, assist in scheduling completion of repairs.

  4. Regularly update & maintain communication with clients, agents, title officer, lender etc.

  5. Weekly Milestone Emails to clients (Sent out as per your desired schedule, usually on Monday or Friday)

  6. Submit all necessary documentation to office broker for file compliance.

  7. Coordinate moving/possession schedules (if requested/needed).

  8. Schedule & coordinate closing process.

  9. Input all client information into client database system.

  10. Schedule onto your calendar 30 Day, 90 Day & 120 Day client customer service follow up calls to assist with any home improvement provider recommendations and to ask for referrals.

From Contract to Close, I've got you covered.  Full-service transaction coordination, contractual timeline alerts, and continuous transaction tracking from the Point of Contract through the Close of Escrow. The complete and compliant paper transaction file is electronically archived then delivered to the Broker on receipt of payment from escrow at closing. Custom files and/or custom programming are subject to higher fees as negotiated.

 

NOTE: Fee is due and payable within 2-days of signed contract.

Covers both the selling and buying side of the transaction. All aspects mentioned above are covered in this fee. Custom files and/or custom programming are subject to higher fees as negotiated.

 

NOTE: Fee is due and payable within 2-days of listing or signed contract, whichever is applicable.

  • $655 fee - From listing to closing, with you having both sides of transaction.

  • $535 fee - From contract to closing, with you having both sides of transaction.

Additional Transaction Management Related Fees

Below are additional fees that either is a mandatory fee or may be added as desired

 

MANDATORY FEES

  • Account Setup fee $50 (includes following once you provide all login information)

    • Setup of account on system  (includes customizing my email signature to your business)

    • Setup of access to all main portals (Multiple List, Showing Service, Forms Portal, ESignature Portal)

    • Setup of access to all social media accounts (Facebook, Instagram, Twitter, LinkedIn, Google+, YouTube, AngiesList, etc)

    • Setup of custom email Templates (used to send to sellers, buyers, co-op agents, lenders & title company)

    • Setup Google Drive Directory (This is where all files for your transactions will be housed)

 

 

ADD-ON FEES

  • Keystone Completion fee (Lockbox installation included if done at same time as Keystone)

    • $25 - Harford County, Baltimore County (East of 83 & down to Middle River), Baltimore City (East of 83 & North side of Inner Harbor) ZONE 1

    • $40 - Baltimore County (West of 83 & remaining areas of the county), Baltimore City (West of 83, South of Inner Harbor) ZONE 2

    • $60 - Anne Arundel County (down to Annapolis) ZONE 3
